Terms of Service in Vermont

What Our HVAC Services Cover
Last updated: October 2026
These terms apply to heating, cooling, and ventilation work we perform at homes and small commercial buildings in Vermont and nearby towns. In scope: equipment repair, replacement, seasonal tune-ups, thermostat installation, ductwork service, and refrigerant work performed by technicians holding EPA Section 608 certification as required under the Clean Air Act.
Some jobs fall outside a standard service visit and need a separate written agreement, including full system design, major renovations requiring municipal building permits, and any project where the Vermont Fire and Building Safety Code or Vermont Residential Building Energy Standards call for permits or inspections. In Burlington, requirements are confirmed with the City of Burlington Department of Permitting and Inspections.
Refrigerant recovery follows federal rules, and discarded thermostats are handled under Vermont hazardous-waste rules in coordination with the Vermont Department of Environmental Conservation. Work is performed under Vermont Department of Labor standards and oversight by the Vermont Department of Public Safety, Division of Fire Safety.
Booking, Rescheduling, and Cancellations
Appointments can be scheduled by phone or through our website. We confirm a arrival window and, when possible, call ahead if a technician is running late. Vermont weather can affect scheduling, especially during heating emergencies in winter, and we will work with you to rebook if conditions make a visit unsafe.
If you need to cancel or move an appointment, please give at least 24 hours notice. Cancellations with less notice, or missed appointments when no one is home, may carry a trip fee that we will explain before billing.
If a technician discovers the job is bigger than expected a cracked heat exchanger, an undersized circuit, hidden duct damage we stop, explain the findings, and wait for your approval before proceeding. No additional work starts without your sign-off, and any change to the agreed scope is confirmed in writing or by text before we continue.
Quotes, Pricing, and When Payment Is Due
For most repairs we provide a written estimate before work begins, listing labor and parts. Estimates are based on what we can see and test at the time of the visit; if opening up a system reveals different conditions, we will revise the quote and get your approval first.
Larger projects like equipment replacement receive a detailed written proposal that is valid for the period stated on the document, since equipment and material costs can change. We do not invent pricing on the spot everything you are charged appears on the estimate or proposal you approved.
Payment is due when work is completed unless your proposal states a deposit or milestone schedule. We accept the payment methods listed on your invoice. If a scope change is approved mid-job, the added cost is billed with the final invoice. Unpaid balances may be referred for collection as allowed under Vermont law.
Our Workmanship Warranty
We stand behind the quality of our installation and repair work. Labor performed by our technicians is warranted for one year from the completion date; if our workmanship fails within that period, we return and correct it at no charge for labor. Equipment and parts are covered by the manufacturer’s own warranty, and we will help you register products and process any manufacturer claim.
Coverage applies only to work we performed. It does not cover failures caused by other contractors, homeowner repairs, deferred maintenance, physical damage, or operating equipment outside its intended use. Running a system with a known fault, or blocking airflow with closed registers and dirty filters, can also void coverage.
Warranty service requires the original invoice. If a third-party permit inspection under the Vermont Fire and Building Safety Code flags an issue with our work, we will address it promptly.
Limits on Our Liability
Our responsibility for any claim connected to work we perform is limited to the amount you paid us for that service. We are not responsible for pre-existing conditions we did not create and could not reasonably detect, such as aged wiring, corroded piping, code deficiencies in older installations, or equipment already near the end of its life. We will point these out when we find them, but repairing them is not included unless you approve a separate estimate.
We are also not liable for indirect losses, including spoiled food from a refrigerator or freezer outage, frozen pipes during a heating failure, or lost business income.
All refrigerant handling follows Clean Air Act recovery requirements by EPA Section 608 certified technicians, and discarded thermostats are managed under Vermont hazardous-waste rules with the Vermont Department of Environmental Conservation. Nothing in these terms limits liability that cannot be limited under Vermont law.
Questions About These Terms
If anything here is unclear, call us at (555) 010-0000 or stop by 100 Main St, Burlington, VT. We would rather explain a term in plain language before a job starts than have a misunderstanding after the invoice arrives. You can also ask a technician to walk through these terms during an estimate visit.
We may update these terms from time to time for example, when state requirements from the Vermont Department of Public Safety, Division of Fire Safety, the Vermont Department of Environmental Conservation, or municipal permitting offices change. The current version is always posted on this page, and significant changes will be noted on our website.
Continued use of our services after an update means you accept the revised terms. For jobs already under a signed proposal, the terms in effect on the signing date apply to that project.
